Setting Up and Using Email

Net•Yield uses a built in email service that is compatible with any SMTP email service. You do not need an email client installed to use the Net•Yield email option.

Setting up email

The following setup options and tables must be properly configured to use the Net•Yield email option.

System Options – Enter the SMTP email sender, SMPT server, and SMTP server account information in System Options.

Shipping Options – Set the Print Invoice Email setting in Shipping Options to Y (Y=yes) to print a copy of the emailed invoice when it is posted to receivables in Invoice Posting. Invoices are emailed when they are posted to receivables – they are not emailed when they are printed.

User Printing – Set the Email Printer Prompt field to Y (Y=yes) in User Printing for each user that needs to send forms and reports via email.

Contacts – Use eContact or the Contacts command option found within each table to add contacts.

Senders email address – The email address used as the sender's email address will come from one of three sources. The email address must have the proper email format – for example, name@company.com and be a valid email account so the recipient can reply to the email sent.

 

Using email

Emailing forms

If you use managed forms to produce sales orders, invoices, bills of lading, purchase orders, releases, or price sheets, the ability to email the form depends on whether or not an email recipient has been selected as one of the recipients for the form. Each form has a list of transaction partners or recipients for the form. The recipient can be setup for email or email optional. If an email recipient is found, Net•Yield will look to the transaction partner record to find an appropriate email address, and will use that email address for the recipient. It will print all other transactions. The recipients should appear already tagged in the “Printing and Emailing Options" window for the form. If the recipient is optional, the recipient will appear in the Printing and Emailing Options window. From this window, the user can tag the recipient manually to send the email. Scroll to tag the appropriate form and email recipient and press Enter to tag. Press F10 when finished. The selected forms recipient copies will be printed and the selected email recipient emails will be sent.

Note: Invoices are emailed at time they are posted to receivables, not at the time they are printed. A copy of the invoice can be printed when posted and emailed based on the Print Invoice Email option in Shipping Options.

If the pre-printed form will be used, the email "printer prompt" for each user in User Printing must be enabled. An Email command option will appear in the print or other output option command line if individual forms are selected to be printed. You cannot email individual documents from within a "batch" of documents. Select the Email command option. The Printing and Emailing Options window will appear with a list of email recipients based on the roles of the transaction partners for the form as defined in e-Contacts or the Contacts command option for the table. Scroll down the list to select the email recipients and press Enter to tag. Press F10 to send the email.

Reports

To email reports, select the Email command option from the print or other output command line. The Printing and Emailing Options window will appear based on the company and user contacts found in eContact and the roles for customer, vendor, and location.

eMessages

eMessages is used to send a text message, an attachment, or a stored message to targeted individuals in your eContact or table contacts based on the roles or message groups. See eMessages for more information.

Net•Yield error files

Net•Yield error messages can be forwarded to the Net•Yield support department when they occur. If a system error occurs the following message will display on the screen: “Warning!!! System Shutdown - Fatal Error. Email error file to Technical Support now? Confirmation to user@company.com?"

Select yes to send the error file to the Net•Yield support department. Select no, if you do not wish to send the error file.

If a valid email address in found in the System Errors eMail Sender field in Interface Options an email will be sent to your Net•Yield system administrator notifying them that a fatal system error was detected on other user workstations.

Net Yield System Integrities

If a system integrity is found when running the Complete Analysis option, the print or other output command line will include an Email Support command option. Select this command option to email the integrity reports directly to the Net•Yield support department. Select the Email command option to email the integrity reports to one of the e-contacts with the IT role.

Note: The Net•Yield email options do not need to be configured to send the Net•Yield error and system integrity files to the Net•Yield support department. Net•Yield is pre-configured to send these files directly to the support department.
